A new app for special events aims to improve the process

The city of Spokane has a long history of being a community that celebrates and hosts special events.

Whether it’s the world’s largest 3-on-3 basketball tournament at Hoopfest, or the nation’s largest armed forces torchlight parade at the Lilac Parade, or making our mark by hosting the one of Bloomsday’s biggest running races, we’ve made our mark to host events that shine a light on Spokane.

We now have an event application process to match the pageantry of our many special events that will make it easier for sponsors to apply for permits and for City staff to process quickly.

In 2019 we rolled out a new paper application with the promise that it would be temporary as we explored an online solution that would streamline the process. A global pandemic might have delayed the release of this solution, but we think it was worth the wait. Candidates will now apply entirely online and will only be asked to provide additional information if necessary.

For example, if you are planning a small block party, with the old paper application you will often need to mark N/A for several questions because they were not relevant to your event. For other larger events, additional permits may be required from the fire department or developmental service center, and this has sometimes been overlooked in the fine print. The new solution is responsive and only displays questions if they’re relevant to your event. If your event will not have an open flame, for example, you will skip to the next question. But if you have an open flame, you will need to answer a series of additional questions.

This responsive system will speed up the application process on the applicant’s side and also provide places to upload documents, such as the Certificate of Insurance. Once submitted, the request will be immediately forwarded for approval. With everything in one place, it will also speed up the approval process as staff won’t have to assemble and grab documents for review. The new system will also provide you with updates. If we need clarification on something in your application, you will receive an email from us. If everything looks good, you’ll receive an email letting you know that your event has been conditionally approved.

We believe these improvements will make applying for permits as easy as possible so that event sponsors can spend more time focusing on organizing the event rather than the hassle of paperwork.
